Why the record matters more than the system

Every organization that manages physical assets has a system of record, and most have several. What they rarely have is a record that is true. A system holds what was entered, and what was entered was a serial number typed once, a condition assumed, and a location that was correct on the day.

The organizations that get control of their assets are not the ones that buy a better system. They are the ones that change what the record is made of. A photograph at every touch, bound to the identifier the organization already uses, turns the record into evidence, and evidence does not need to be reconciled.

Disposition before the lot forms

Value in returns and overstock is lost at a specific moment, the moment items are aggregated into a lot. Once a lot exists it is valued as a lot, sold as a lot, and recovers what lots recover. Published data on bulk liquidation puts that figure at a small fraction of retail value for the largest lots.

The decision that matters is made at the item, before aggregation. Identify it, grade it, and route it to the channel that recovers the most for that item. Everything that follows is negotiation over a number that has already been decided.

Deploying in days, not quarters

Asset technology has a reputation for long deployments, and the reputation is earned. The cause is almost always the integration, the connection to the system of record that has to exist before the first item can be recorded.

Vendidit deploys in the opposite order. The first item is recorded on day one, keyed to the customer's existing identifier, and the customer updates its own system from the record. The integration comes later, if it comes at all, as a convenience. The approach is described in the V Labs note on photographic onboarding.
